The Pomodoro Technique: Is It Right For You?

If you spend any time at all researching life hacks, you’ve probably heard of the famous Pomodoro Technique. Created in the 1980s by Francesco Cirillo, the Pomodoro Technique is one of the more popular time management life hacks used today. But this method isn’t for everyone, and for every person who is a passionate adherent of the system, there is another person who is critical of the results.

Is the Pomodoro Technique right for you? It’s a matter of personal preference. But if you are curious about the benefits of using the technique, this article will break down the basic information you will need to decide if this technique is worth trying out.

What is it?

The Pomodoro Technique is a time management philosophy that aims to provide the user with maximum focus and creative freshness, thereby allowing them to complete projects faster with less mental fatigue.

The process is simple. For every project throughout the day, you budget your time into short increments and take breaks periodically. You work for 25 minutes, then take break for five minutes.

Each 25-minute work period is called a “pomodoro”, named after the Italian word for tomato. Francesco Cirillo used a kitchen timer shaped like a tomato as his personal timer, and thus the method’s name.

After four “pomodoros” have passed, (100 minutes of work time with 15 minutes of break time) you then take a 15-20 minute break.

Every time you finish a pomodoro, you mark your progress with an “X”, and note the number of times you had the impulse to procrastinate or switch gears to work on another task for each 25-minute chunk of time.

How can it help you?

Frequent breaks keep your mind fresh and focused. According to the official Pomodoro website, the system is easy to use and you will see results very quickly: “You will probably begin to notice a difference in your work or study process within a day or two. True mastery of the technique takes from seven to twenty days of constant use.”

If you have a large and varied to-do list, using the Pomodoro Technique can help you crank through projects faster by forcing you to adhere to strict timing. Watching the timer wind down can spur you to wrap up your current task more quickly, and spreading a task over two or three pomodoros can keep you from getting frustrated. The constant timing of your activities makes you more accountable for your tasks, and minimizes the time you spend procrastinating. You’ll grow to “respect the tomato”, and that can help you to better handle your workload.

Who loves it?

Steven Sande of The Unofficial Apple Weblog is a fan of the system, and has compiled a great list of Apple-compatible Pomodoro tools. Before he started using the technique, he said, “Sometimes I couldn’t figure out how to organize a single day in my calendar, simply because I would jump around to all sorts of projects and never get even one of them accomplished.”

Another proponent of the Pomodoro Technique is Sue Shellenbarger of the Wall Street Journal. Shellenbarger tried out this system, along with several other similar methods for time management, and said that “It eased my anxiety over the passing of time and also made me more efficient; refreshed by breaks, for example, I halved the total time required to fact-check a column.”

Criticism

Despite the number of Pomodoro-heads out there, the system isn’t without its critics. Colin T. Miller, a Yahoo! employee and blogger, tried using the Pomodoro Technique and had some issues.

“Pomodoros are an all or nothing affair,” he says. “Either you work for 25 minutes straight to mark your X or you don’t complete a pomodoro. Since marking that X is the measurable sign of progress, you start to shy away from engaging in an activity if it won’t result in an X. For instance…meetings get in the way of pomodoros. Say I have a meeting set for 4:30pm. It is currently 4:10pm, meaning I only have 20 minutes between now and the meeting…In these instances I tend to not start a pomodoro because I won’t have enough time to complete it anyway.”

Another critic is Mario Fusco, who argues that the Pomodoro Technique is…well…sort of ridiculous.

“Aren’t we really able to keep ourselves concentrated without a timer ticketing on our desk?…Have you ever seen a civil engineer using a timer to keep his concentration while working on his projects?…I think that, like any other serious professional, I can stay concentrated on what I am doing for hours…Bring back your timer to your kitchen and start working in a more professional and effective way.”

Conclusion

One of the best things about the Pomodoro Technique is that it’s free. Yeah, you can fork over some bills to get a tomato-shaped timer if you want…or you can use any timer program on your computer or phone. So even if you try it and hate it, you haven’t lost any cash.

The process isn’t ideal for every person, or in any line of work. But if you need a systematic way to tackle your daily to-do list, the Pomodoro Technique may fit your needs.

7 Tips for Reducing Your Overhead Costs

If you are self-employed or own a small business, you know all too well that out-of-control overhead costs can be crippling. Operating costs are a necessary evil– you need to spend money to make money, after all. But for businesses trying to weather tough economic conditions, or for start-ups just trying to break even, one month with too much overhead can be the kiss of death.

Overhead can include expenses like rent, utilities, office supplies, and advertising. And while all these expenses seem pretty normal, it doesn’t mean they are necessary. If you’re serious about cutting costs without cutting corners, the following tips can help reduce overhead in your business.

1. Go Paperless

This should be pretty obvious by now, but going paperless is a great way for a business to decrease both clutter and expenditures. You can store important documents in the cloud or on disks, sign all contracts electronically, and help save the environment as an added bonus.

You won’t have to pay for paper or ink cartridges. You can sell your printer on Craigslist. And if you back up all your paper files digitally, you might even be able to downgrade to a smaller (and cheaper) office space, saving even more money each month.

2. Splurge on an Accountant

It may seem counterintuitive to shell out big bucks for an accountant or tax service professional to do your bookkeeping. After all, these people generally charge a lot of money for their services. But if you have someone at say, H&R Block look over your taxes this April, the company’s policy is to pay any penalties or interest caused by an error on their part.

Best of all, tax and accounting professionals will be more likely to find deductions that you might have overlooked. It’s a big investment, especially for a small business. But it’s an investment worth making. You can’t put a price on peace of mind.

3. Evaluate Your Needs

Look around your office. Now, ask yourself, “What do I see here that I don’t use every day?”

Do you really need business cards in an age where you maintain a web site, a Twitter profile, and a Facebook page? How much are you paying for “premium” web hosting each month?

You shouldn’t be paying for anything you don’t need, whether it’s office equipment, supplies, or space. Which brings me to my next point…

4. Find the Perfect Space

Is your office currently in a location that makes good financial sense? Do you need to maintain a downtown storefront, or would you be better served by working from a smaller office? Do you even need an office/studio space? Could you work from home instead? How often do you need to interact with clients face-to-face?

The answers to those questions will vary depending on your industry, the size of your company, and your financial outlook for 2011. By securing a space that really suits your business, you will likely save time and be more productive.

5. Ditch Your Phone

There’s no reason you need to pay through the nose for phone service. Not in this day and age.

Again, how much you can cut back depends on the size of your company, how many employees you have, and what industry you are in. Between Skype and Google Voice, paying for phone calls and voicemail is a thing of the past, though you may still need to pay some money for international calling. Both services also have mobile apps, meaning you can stay connected on the go.

And if you need a “traditional” land line, consider VOIP over the standard offerings from phone companies in your area.

6. Make Smart Hiring Decisions

If you have to hire a new employee, hire someone who has multiple strengths. They don’t need to have a degree in Computer Science, but if your new sales rep also knows how to check your TCP/IP settings and craft press releases, that’s a huge plus. Investing in professional development for your employees is another way to keep them happy and promote long-term growth and success for your company.

7. Develop Brand Ambassadors

Advertising is expensive, and can’t guarantee consistent or impressive results. You might pay a couple hundred dollars to run a TV, radio, or print ad in your area, only to find that you drum up very little business.

A smarter idea is to get your clients to become brand ambassadors. Offer your current clients and customers incentives for talking you up, and for referring new business to you. Word-of-mouth is still a persuasive tool in our digital age, and one that people tend to take for granted. Get satisfied customers to tweet about you for discounted services, or offer current customers free services for every new client they refer to you.

The Bottom Line

It’s almost impossible to run a business without some overhead. But these operating costs can be minimized or eliminated in many cases, leaving you with more profits in your pockets. A business with streamlined operating expenses will have the best possible chance for success, so make sure you’re running a tight ship.

The Simplest Diet for Lean Fitness

I’m in the best shape in my life.

I’m incredibly happy to say that. For years (as many of you know) I was in terrible health — I was overweight and sedentary and addicted to junk food and a smoker and overworked.

Today after more than five years of living healthy I am about 65 pounds lighter. I’m leaner than I’ve been since probably high school with the same pants size as I had in high school (31 inches) — while being much stronger than I was back then. More importantly I am fitter: I can run and play sports and hike and do activities of all kinds better than ever before.

How have I achieved all of this? Slow change. I’ve done no fad diets or quick weight loss. I’ve done nothing extreme. Everything is about living healthier and eating whole foods and being active most days. And about enjoying the journey.

Today I thought I’d share a bit about how I eat. It’s not meant to be copied exactly but to inform others trying to make a similar journey. Also see the next post: How I Train.

Overall philosophy

My general philosophy of eating:

  • I don’t go for anything extreme. I’ve made small changes to my diet over the years and have found this works best: if you try for drastic changes you’ll hate it and won’t stick to it for long. But add a few extra fruits and veggies and it’s not hard. Change soda to water next month and it’s not deprivation.
  • I eat slowly. OK … not always but most of the time. Eating slowly allows me to fully savor the taste of the healthy food I eat and at the same time eat less while still feeling satiated (not stuffed).
  • I eat real foods. I try for veggies and fruits and raw nuts and seeds and beans and some whole grains. Sometimes my food is processed but mostly it’s just the stuff you’ll find in the produce and bulk sections of a supermarket (or farmer’s market).
  • I eat plants. I do that mostly for reasons of compassion (killing animals for pleasure doesn’t feel right to me) but I’ve found it’s also an extremely healthy way to eat. Sure it’s possible to be vegan and unhealthy (eat processed fake meats and sweets) but if you’re a whole-food vegan it’s hard to go wrong. And yes it’s easy to get protein as a vegan.
  • I enjoy myself. I look for healthy foods I love — berries for example — and savor them. I’ll eat sweets now and then but in small portions and truly enjoy the few bites I have. I have red wine and love it. I drink beer sometimes and it’s wonderful. I have pizza about once a week and it’s delicious. Eating healthy isn’t about deprivation but about finding ways to enjoy yourself while living a healthy life.

My Diet

This month I’ve cut my less healthy choices down to Saturdays — as inspired by Tim Ferriss’s book The 4-Hour Body. That means I only eat pasta and pizza and sweets and beer and French fries on Saturdays. This has gotten me even leaner and I recommend this way of living.

The rest of the week I eat my own version of Tim’s Slow Carb Diet — the Leo version. That means I eat a little fruit and a few whole grains and I don’t eat the meat. I don’t eat fried foods or drink calories (other than red wine at dinner) or eat white carbs (pasta bread rice potatoes pizza).

What I eat:

  • Beans – lentils and black beans and kidney beans and pintos and soybeans.
  • Nuts and seeds – raw almonds and walnuts and seeds and olive oil and avocadoes.
  • Veggies – lots of greens like kale and spinach and chard and broccoli. Carrots and various bell peppers and sprouts and so on.
  • Fruits – berries and apples and oranges and a little dried fruits like raisins. In moderation.
  • Whole grains – steel-cut oats and Ezekiel flourless sprouted-grains bread and quinoa (not technically a grain). That’s about it — I don’t eat pastas or whole-grain muffins or the like.

My Meals

My typical day usually goes like this:

  • Breakfast: Every day I eat steel-cut oats for breakfast late in the morning (usually between 10:30 and 11:30). I cook it and then mix it with flaxseeds and cinnamon and blueberries and raw almonds and a few raisins and maybe a small amount of banana or raspberries.
  • Lunch: Typically a big-ass salad with kale and spinach and sprouts and avocados and beans and raw nuts and a little fruit with balsamic vinegar. Sometimes I’ll eat a tofu stir-fry with greens.
  • Snack: If I’m hungry in the afternoon I’ll eat some raw nuts and dried fruit or veggies and hummus.
  • Dinner: Beans and veggies or a tofu-stir fry or veggie chili with beans. This meal varies. Sometimes the beans will be Indian style or Mexican style. Usually the veggies will be greens like kale or broccoli or chard. Sometimes I’ll have quinoa. Red wine with dinner.

And that’s about it. Over time I’ve found I need less food than I used to. Eat slowly and you’ll find yourself full on less food.

The Results

I used to spread my “cheats” throughout the week — a whole-grain muffin here and some pizza there and beer more than I’d like to admit. But putting everything on Saturdays has helped me be honest the rest of the week.

I honestly enjoy eating whole foods. I enjoy being lighter and leaner. I’ve gained muscle eating these foods though I might focus on building more muscle later in the year.

I run faster than ever. I can do more intense workouts than ever before. I was tested for various health indicators recently and everything was perfect. Eating this way has absolutely changed my life.

Notes

A couple notes to answer potential questions:

  • Soy is not unhealthy. You might have read various scare articles on the Internet about soy (usually based on misleading articles from the Weston A. Price Foundation) but they’re misinterpretations of science. I eat soy in moderation and try for whole soy in natural forms (tofu, tempeh, edamame, some natural soy milk). I don’t have man boobs and I’m absolutely healthy. Instead of pointing to “scientific” explanations of why soy is unhealthy show me the actual peer-reviewed studies that show that moderate amounts of natural soy (not soy protein isolate) have caused health problems.
  • You can absolutely get enough protein and calcium and iron on a vegan diet if you eat whole foods and not junk.
  • Sugar is junk and that includes white flour pasta and breads and French fries. It’s worthless calories. Whole grains in moderation provide nutrients and fiber.
  • A little meat in moderation is not unhealthy — especially if you choose grass fed and free range. Most people eat unhealthy amounts of meat and eggs and dairy. Those foods in any amount are unethical in my opinion — even if they’re grass fed and free range. Exploitation of animals as objects and their suffering for our pleasure is not compassionate. We don’t need animal products to live healthy lives — as my example shows — so the only reason to eat them is for our pleasure (we like the taste).

6 Easy Tips for Living with 100 Items or Less

Every few months, it seems like I read another story about someone who has sold or donated nearly everything they own, reducing their total number of personal possessions to under 100 items.

There are lots of reasons for a person to want to do this. Maybe you’re moving across the country (or to a different country), and you need to pack light. Perhaps you’re trying to reduce your carbon footprint. Maybe you just watched a marathon of “Hoarders” and you’re feeling like it’s time to clean house.

Whatever your motive, if you want to try living with 100 items or less, you’ll need to start thinking about what items you can’t live without. Here are some tips for picking what to keep, and what to get rid of.

1. Inventory Everything

You can’t decide what to cut until you have a list of all of your possessions. This could take some time, and the amount of time it takes to catalogue your material goods might prove once and for all that you have way too much stuff.

Once you know what you have, categorize it. You can do this by room (bedroom, kitchen, etc), by frequency of use (seasonal items, everyday items, etc.), or by purpose (work-related items, entertainment, etc).

2. Only Keep Multipurpose Items

Don’t keep anything that doesn’t serve multiple purposes in your home. If it only does one thing (I’m looking at you, garlic press), ditch it to make room for something with more than one use.

A couch that converts into a bed is perfect for visiting guests. A coffee table can also serve as a desk or dining surface in a pinch.

3. Don’t Be Too Spartan

100-Item minimalism isn’t about denying yourself pleasure, it’s about finding pleasure in simplicity. So you should end up with items that make you happy and make your life easier.

For example, say you are a heavy tea drinker. If you took my advice above, you probably ditched your tea kettle, since you could use a pot or a microwave to heat water. But if good tea is important to you, then you should keep your favorite tea kettle, even if it’s a single-purpose item. Scaling back doesn’t mean denying yourself life’s little pleasures. There’s a difference between minimalism and frugality. Make sure you know which is which.

4. Obey the 12-month Rule

Ditch everything you haven’t used in the last 12 months. Skinny jeans, Christmas decorations, old wrapping paper, the fondue pot, that old sewing machine you think you can fix “when you have the time”. It you haven’t touched something in a year, chances are you aren’t going to need it any time in the next 12 months, either.

5. Re-purge

3 months after you donated or sold your “12-month” possessions, re-examine all your remaining possessions, and try and get rid of things that you don’t use at least once a month (or once a week if you are really trying to clean house).

Don’t be afraid of ditching something you might need in the future. Chances are, you have a kindly neighbor who can lend you a springform cake pan for the one weekend a year you actually bake. If you’re really on the fence about a number of things, consider putting some items in storage, and revisit the issue of keeping them in another couple of months.

6. Take Care of Business

If you work out of a home office, you might think that there are certain items that you can’t live without– a printer, a fax machine, a desk. And you’d be wrong.

Obviously, your needs will vary depending on what line of work you are in. But services like EchoSign make printing out contracts a thing of the past, you can send faxes for free online from sites like FaxZero, and you might find you’d rather use a laptop with a cooling lap desk than sit at a “real” desk all day.

According to Everett Bogue, author of Minimalist Business, “Most of the objects we assume are necessary to run a business aren’t needed anymore. I don’t own a desk, I don’t use paper, I don’t have business cards, I don’t rent an office….The benefit of choosing to live with less is that my business operating costs drop to nearly zero….When your overhead is nearly zero, you can start turning a profit immediately.”

The Bottom Line

Embarking on a quest to live with 100 items or less is a major decision, and sorting through all your possessions could take you months. But, if you have the patience and the will, you might find that living the ultra-minimalist lifestyle affords you the kind of physical and mental “breathing room” you could have never achieved otherwise.

The Spiral of Successful Habits

Many people have so many things they want to change about their lives they don’t know where to start.

It’s overwhelming: you might smoke and eat junk food and need to exercise and want to be more productive and eliminate debt and start doing work you love and simplify your life to find time for your family and find things to be passionate about …

Where do you start?

It’s doable — this is where I was five years ago. One by one I changed my habits:

  • I quit smoking.
  • Started running (eventually did a few marathons).
  • Started eating healthier (I eat a whole-food vegan diet now).
  • Started eliminating my debt and saving money (I’m debt-free now).
  • Started simplifying my life.
  • Found work I love doing.
  • Started waking earlier and becoming more productive.

The list goes on. I’m not trying to brag but to show it’s possible. I did all this with six kids and three jobs (with tons of help from my wife Eva of course).

Many of you might be in a desperate place like I was. A reader named Craig recently wrote:

“The last 5-7 years have just been complete hell for me mentally, physically, and financially. Prior to then I was a confident young man who was able to do anything that he put his mind to. I’m not sure exactly how everything just seemed to go down hill for me, but now I have all but lost my self confidence, I suffer from stress and anxiety, I am probably about 30-40 lbs overweight, I’m a pack a day smoker, and to be honest I can’t stand to look at myself in the mirror these days.”

He continued:

“Every morning I wake up with butterflies in my stomach because it’s almost like I’m afraid to even face the day. I often sleep too late and I just all around feel like crap in the morning. I have tried all kinds of different things to try to fix this issue but nothing has worked. I just wish I could start my day off on a better note.”

He then asked the key question: “How were you able to kick start your life back in 2005 and begin your journey to a better more productive life? How are you able to get up in the morning, jump out if bed, and start your day on a positive note?”

In 2005 I was in a bad place in my life with so many changes I needed to make that it was utterly overwhelming and discouraging.

Then I made one of the smartest decisions of my life (aside from marrying Eva):

I chose just one habit.

The other habits would come later. Starting with just one habit accomplished four important things:

  1. It became much more manageable. One habit is doable — 15 habits are too hard.
  2. It gave me focus. I could pour all my energies into one thing. When you have too many habits you’re trying to change it diffuses your energies and you most often fail.
  3. It taught me how to change habits — and then I could apply that knowledge to the next habit change.
  4. It allowed me to succeed and then use that energy and enthusiasm to succeed at the next thing.

Every single one of these is incredibly important. I won’t go into much depth for the first three things because I feel they’re self-evident. But the last one is so important that it deserves a little discussion (see below).

Which Habit to Choose

I started with quitting smoking because it seemed the most urgent to me. Looking back it was also the hardest habit to quit. I might recommend an easier habit to get started with.

But the truth is it doesn’t matter much. If you have 15 habits you want to change and they all seem important then just pick one randomly.

Here’s the thing: in the long scheme it doesn’t matter a lick which one you started with. Five years from now you’re going to look back on all the habits you’ve changed and the order you started with won’t make a difference. Right now it seems to matter but you’re not in this for just this month — you’re in this for life.

Pick one. Any one. I’d suggest an easy one. The important thing isn’t that you choose the right habit but that you start.

Spiral of Success

Picking one habit allows you to succeed and build on that success. That’s more important than you might think if you haven’t done that before.

I read a book by Bill Gates in the 90s where he talked about his “Spiral of Success”. He built MS-DOS and that succeeded so he leveraged that success for MS-Word and then Windows and then Windows 95 and then Excel and Office and Internet Explorer and so on (the order might be wrong here but that’s not important).

Now I’m not a big Bill Gates fan. But the concept is true not only in business but in anything you do: your success with one habit will make you feel great. You’ll be so excited by that you’ll want to try another. If you focus on just one habit you’ll succeed at that too and you can then build on that and so on.

Soon you’ll be rocking the world and people will ask you how you did it. You don’t have to mention my name but you should mention Bill Gates’ name — credit where it’s due.

How to Write Your First Novel in Under 4 Weeks

How many times have you started work on a novel, only to abandon the project a few weeks later? After all, between work, family, and sleep, there just aren’t enough hours in the day to get what’s in your head down on paper.

Believe it or not, writing a novel takes less time than you might think. If you can set aside a few hours a day for just 4 weeks, you can finally finish the novel you’ve been meaning to write for years.

If you’re serious about writing your first novel, then just do it. And if you wanna do it fast, here are some tips for doing it in under 4 weeks.

1. Set Your Goals (But Know Your Limits)

What is a novel, to you? Is it 50,000 words, or 100,000? Figure out how long your novel needs to be, then, figure out how many words you write per hour. Once you know those two figures, you will be able to see if your goal is reasonable given the number of hours you can commit to writing each day over the next 4 weeks.

According to author Dean Wesley Smith, “Most professional writers can average about one thousand words an hour, when going on a novel. Not in the struggle of the beginnings, but once the novel is underway. So, simple math says that to write a 90,000 word novel, you have about 90 hours of work.”

Assuming that you can keep up that pace, Smith says you should be able to crank out an entire novel in under a month: “Using that 90 hour number, divide by 3 (weeks) and you get 30 hours per week. Divide that by 7 days and you get about 4 ½ hours per day, or converted to words, 4,500 words per day, which in 21 days will get you a 94,000 word novel.”

Keeping up that pace might be tough for a first-time novelist, but there’s a little wiggle room in there that means you can still get your novel done in less than a month. And if your novel only needs to clock in around 50,000-60,000 words, you might only need two weeks. Starting to sound feasible, right?

2. Go Public

Yes, we writers are solitary creatures. But telling friends and family that you have set this ambitious goal for yourself makes you accountable for your project. If you set a goal to complete a novel in 4 weeks and fail, chances are your Aunt Mildred will bring it up at your next family dinner. If Aunt Mildred’s disdain isn’t enough to motivate you, then I don’t know what is.

3. Be Part of a Community

Consider writing your novel during November, also known as National Novel Writing Month. During NaNoWriMo 2009, over 165,000 participants signed up to try and write a novel in just 30 days, and over 30,000 of them succeeded. If you choose to participate in NaNoWriMo, then you will have support from other participants, weekly “pep-talk” emails from the organizers, and invites to local writing parties hosted in your area.

If you think that speedy writing doesn’t lead to good writing, take note: To date, 27 novels written during NaNoWriMo have been printed by major publishers, and I’m sure plenty of others are earning money for their authors through e-book or print-on-demand sales.

4. Have a Plan

Noted fantasy author Jeff VanderMeer wrote “Predator: South China Seas” in just 8 weeks, but he probably could have gotten done in 4 if he wasn’t also working full-time and working on other novels at the same time. He wrote a great blog post about how he was able to pull this off back in 2008, and it includes great advice on how to best prepare for writing under a tight deadline.

“Most of the time, I wrote new scenes in the mornings, revised existing scenes in the afternoons, and spent my evenings on line-edits and rewrites of individual paragraphs here and there,” he explained. “By structuring my time this way, I made better progress than if I’d just focused on doing new scenes all day until the novel was done.”

VanderMeer also urges writers to outline the entire novel in detail before actually starting the writing process: “If possible, make sure that you have a one- or two-line description of the action for a particular chapter or scene. Know going into the writing for a week exactly what each scene is supposed to do and why…If you don’t know that, you will spend most of your creative energy just trying to figure out what should be happening.”

5. Put the Pedal to the Metal

If four weeks doesn’t seem challenging enough, why not write your novel in just two? This is what Suzanne Pitner calls “Fast Drafting”, and if you can set aside 14 days to do nothing but write, you can put together a manuscript of 70,000 words in that time period by writing 5,000 words per day.

Basically, just drop everything and do nothing but write. Chances are you get at least two weeks of vacation time each year, so why not take it all at once? Maybe 2011 is the year that you actually do something important with your downtime.

The Bottom Line

There are a lot of other tips I could give you, from working in a distraction-free environment to incentivizing the writing process with small rewards along the way. But the most important advice is this: don’t be afraid of failure. Chances are, fear is the only thing holding you back.

To get over your fear of failure, you need to throw caution to the wind. Write as if your life depends on it. And if you get scared, just think of how different your life will be in just four weeks. That should be all the incentive you need to reach your goal.

Twelve Steps to Get Things Done

No Frills Personal Development

It’s become apparent that not everyone connects with, relates to or gains value from the traditional personal development language or paradigm. Or words like paradigm (for that matter). Many of my readers have shared with me that their partner (sister, brother, mother, father, boss) needs to hear these (types of) messages but they seem to have an aversion to anything that smells like ‘motivational speaker’. To be honest, I don’t blame them. Some motivational speakers are a little smelly.

So, here it is team: my no frills, twelve-step, personal development philosophy for people who hate self-help stuff and cheesy motivational types. In order to avoid boredom, confusion and distraction, I’ve kept it simple and succinct.

Step 1. Don’t talk big. Big-talkers are notorious under do-ers, under-achievers and under-performers. They’re also pains in the arse.

Step 2. Don’t wait for things to ‘work out’. Idiots wait for things to work out. Rather than hoping things will happen, make them happen.

Step 3. Lose the bad attitude. Attitude is a choice. Better attitude equals better decisions, behaviours and outcomes.

Step 4. Don’t eat crap. Being unhealthy on a physical level means you won’t function optimally on any level: mentally, emotionally, professionally or socially. Eat crap and you’ll look, feel and function like crap!

Step 5. Actually care about others. Being a self-centered idiot ain’t a recipe for success.

Step 6. Don’t make life harder than it needs to be. Life’s challenging enough without you complicating the simple. Suck it up, Princess.

Step 7. Do things early in the day. Being productive early puts you in a better place (mentally, emotionally and creatively) for the rest of the day.

Step 8. Let go of your ill-conceived beliefs. It’s time to lose those self-limiting, disempowering beliefs. They’ve run your life for long enough. You’re good enough, talented enough and, yes, you deserve happiness.

Step 9. Bad things happen and life’s not fair – deal with it. More often than not success or failure will be determined by the way you react to the situations, circumstances and events (good and bad, foreseen or not) of your world. Better reactions equal better results.

Step 10. Don’t focus on (or obsess about) things you can’t change. Wasting your time, talent and emotional energy on things that are beyond your control is a recipe for frustration, misery and stagnation. Invest your energy in the things you can control.

Step 11. Don’t avoid things you fear. Putting your head in the sand just shows the world your arse. And none of us want that. Lasting change begins with awareness and acknowledgement. Step up and do what’s necessary.

Step 12. Don’t over-think things. Analysis paralysis is a painful, pointless and unnecessary condition. To think is good. To obsess is bad. Stop obsessing.

There you have it, Grasshoppers: politically incorrect self-help. In fact, let’s not call it self-help, let’s call it… some free practical advice. Of course, some will be offended and bothered by this type of language and message but fortunately for me, I’ve learned to take criticism pretty well.

You may want to attach (nail, staple, rivet, sew, glue) these twelve steps to the forehead of someone special. And then run.

Finding the Elusive Work-Life Balance

How do you find a balanced life when you’re overloaded with work?

How do you switch off work when you’re away from the office?

The answers to these very common questions are elusive. It’s never an easy thing. But once you do find this balance you’ll find enormous benefits: more enjoyment of life and better relationships and less stress and a better quality of life overall.

A reader recently asked:

“I’d love to hear advice on how people who work full-time jobs can still manage to attain a well-balanced life. Especially in roles that give you sales targets, monitor you, and can be very stressful. I know it’s best to switch off after working hours, but sometimes (as humans) it is tough.

In Hong Kong, part-time jobs don’t pay well here and are tough to find, and full-time jobs often require overtime and are very stressful (it’s the Hong Kong norm to squeeze out as much as you can from an employee). In this corporate jungle, a part-time would be a perfect job for me (say 9-3 everyday); however it’s very hard to find jobs like that – it’s just not how the job market here is in Asia.

So how does one keep their calm and be grounded and still make time & energy for family, friends, myself, hobbies, interests and let’s face it – sanity? How does one learn to ‘not keep goals’ when that is what is expected from 8:30 a.m.-6:30 p.m. 5 days a week? It’s tough to be 2 different people at work and outside of work.”

That’s a tough one. I should note that in many countries — including the U.S. — this is a common problem even if it’s not as pronounced as in Hong Kong (for example). We all face these problems whether we’re employees or self-employed or free-lancers or own our own businesses.

I’ve created a life where balance is intentionally built-in but it hasn’t always been that way. I’ve worked in the private sector (in the news industry) where they try to squeeze every bit out of employees and we were often asked to work longer hours without compensation. I’ve worked in demanding public service jobs where working into the night and weekend hours (again without more pay) were the norm. It wasn’t easy finding balance.

But don’t despair. Change is possible. These days I have created a life where I work less but on things I love. I make time for staying active and getting outside. I make time for playing with my kids and being alone with my wife. I find time alone for reading and walking and thinking. And as I do these things work isn’t always on my mind.

I have a few key tips that should help no matter what your work situation:

1. Set a time to shut off work. Working all day and night means you are nothing but your job. Your life belongs to your employer (or if you’re the employer then your life belongs to your employees or customers). Take ownership of your life — find variety and ways to burn off stress and find enjoyment in life! Start by setting a time each day when you shut off work. Whether that’s 5 p.m. or 5:30 or 6 or 7 or 9 p.m. Some of you can set it even earlier if you start earlier — say 4 p.m. or something like that. Set that time and make it happen. After that shut-off time you will not do work or check email or think about work.

2. Find something to immerse yourself in after work. What do you love doing besides work? Do you love to read or run or play sports or hang out with friends or play with your kids or build model ships or play games? If you don’t already have a passion then pick something that sounds fun and give it a try. It doesn’t have to be expensive — it could be as simple as hiking around your neighborhood or volunteering at a charity or helping friends with household projects. Schedule it as soon after work as possible. And while you’re doing it try to completely immerse yourself. Don’t think about work — only think about the after-work activity.

3. Learn to be mindful and present. It’s not easy to just switch your mind off work but it’s a skill you can learn over time. The way to learn this isn’t to try to block work from your mind — it’s to learn to bring your mind back to whatever you’re doing after work. It doesn’t matter what you’re doing: it could be household chores or exercise or talking with someone or taking a bath or eating. Whatever it is … that’s all you want to focus on. Your mind will inevitably slip into something else. That’s OK. Bring it back gently and without reprimand. Slowly with practice you will get better at being present. Which means your work won’t always be on your mind.

4. Take breaks at work. Not everyone will have this flexibility but it’s worth doing if you can manage it. Basically if you’re working for 8 or 10 hours you don’t want to do it non-stop. You need to find balance even at work. So at least once an hour get up and walk around. Get outside if you can and take a walk. Stretch and massage your shoulders and get your blood moving. Do some squats or pushups if you want to start getting fit. Talk to someone. Drink water. Eat fruits and vegetables. Your break just needs to be 5-10 minutes but it’s important.

5. Increase your skills while at work — to prepare for leaving work. If you are very skilled at what you do then you become worth more. In fact it’s often possible to quit your job and start your own business if you’re good enough. And it doesn’t take a lot of money to work for yourself — you can start a business with practically no money. I started mine while still working full time: my job funded my startup business. Even if you don’t go into business for yourself you’ll be worth more with a high skill level. So devote your work hours to learning and perfecting your work skills.

6. Find ways to increase your income while decreasing hours. As your skills increase your value increases. Slowly pick jobs or projects that earn more money per hour. This often means changing jobs but it might be a promotion or change in roles. It could mean starting your own business or becoming a consultant. If you already have your own business or work for yourself then you should slowly be picking jobs or business projects that pay more for every hour you spend working on them. By increasing income you can decrease hours and free up more time for yourself.

7. Learn that you are not defined by work. You can be happy without your job. Your value isn’t completely tied to your work. For example: I’m a writer but it’s not the only thing I am. I’m also a father and husband and know that those are my most important roles — not my role as a writer. I am more than that as well: I run and read and learn and help others and am constantly experimenting with life. I can do things other than my job and be fulfilled. So can you. And once you discover this you’ll free yourself to find a life outside of work. Then balance is simply a matter of logistics — you just need to make it happen by taking small steps.

Small steps is always the answer. You don’t need to be perfect at shutting off work or being present or pouring yourself into something after work. You just need to start doing it and in doing so you’ve already started down the road to balance.

12 Months of Clearing to Create a Great 2011

Make room for guests by clearing the guest room!

What you do at the end of the year sets the tone and direction of the new year. This year set your intention to take the 12 Months of Clearing Challenge. Commit to clearing your entire home of those things you no longer love or use.

Sound like a tall order? It is! But, it can be done following the 12 Months of Clearing Plan. Each month you focus on clearing one specific area.

January-Your bedroom closet

Why your bedroom closet? Your clothes are an extension of you. Ideally they should reflect who you are today. If you want to be clear about who you are and what you want, the best thing you can do is clear your closet. Also, once your closet has been tackled the rest of the bedroom will be much easier to clear. A clear bedroom can have a profound positive effect on your health because your body is exposed to its energy for at least 6 to 8 hours every night.

February-Home office

Eeeew!!!! Yuck!!! Why do the home office so early in the year? Normally I would recommend that you deal with anything that has to do with paper further along in the process of clearing because paper can shut you down faster than any other kind of organizing. But, the home office is usually the heart of organizing finances. It’s a good idea to be grounded regarding finances as soon as possible in a new year. If you have volumes of paper in your home office that you just can’t make yourself clear because of fear or overwhelm, consider getting help to do it from a friend or professional. Or, you could clump all paper to be gone through in boxes that you set aside until later in the year when you are feeling less overwhelmed and more confident about your ability to do it. Once the distracting paper is clumped, focus on clearing out other items (old software, manual, office supplies, etc.) and setting up the home office for ease of functioning.

March-Kitchen

The kitchen is the heart of the home. It is a high activity area. Working there will clear out old food stuffs that are past their expiration date and create a space where positive interactions are possible.

April-Garage

The garage is a clearing project many people like to avoid, probably because it’s a big, complex area and because it’s usually a dirty job. But, clearing the garage before the season when yard tools and recreational equipment will be used makes the process of accessing those items more appealing. And, why have that stuff if you can’t access it? Because the garage is a big job, break it down by section. For example, work on tools one weekend, recreational equipment the next and so on. Or, you could look for items from the entire garage to clear the first weekend. Then, the next weekend reorganize the items that are left. If the job is still too daunting, get help at least to get started. Once you’ve broken through the overwhelm you may be able to finish on your own.

May-Linen closet

Whew! May is an easy month because it’s the Mother’s Day month. Since women often take the lead with clutter clearing, I wanted to be sure that they get a bit of a break this month. Linen closets are usually not as challenging as other closets, unless you also keep toiletries in them. Clear out those nasty, ragged towels, unless you use them for bathing dogs. And, get real about the sheets! If they are looking paper thin, it’s time to invest in some new sheets.

June-Utility room

The utility room is another challenging place to clear. Like the garage it’s usually a multi-function work and storage space. That creates complexity. And, I’ve found that many people are seduced by cleaning products. They often have multiples of products that do the same thing. Decide which products you actually use and get rid of the rest! Also, make sure that all products are visible. If you can’t see an item, you won’t use it.

July-Bathroom closets/cabinets

Bathroom closets and cabinets are another haven of products that looked like just the thing for your hair or nails or teeth, but that in actuality were used just once or twice and never used again. I’m not sure why they don’t get thrown away immediately. Perhaps because they cost money or because you hope they’ll miraculously work better the next time. Clear out those stagnant items!

August-Children’s rooms

Unless your child is incapable of getting rid of things or is too young to make decisions, I recommend that clearing children’s rooms involve the children at some point in the process. Involving them is an excellent way to teach them not only how to do it, but that it must be done from time to time. They will learn that some of their belongings are temporary residents in their room. Once they have outgrown them, they should be released. Clearing a child’s room with them is also an excellent opportunity to teach them the idea of community service. They are blessed to have all they have. When they are done with their toys, books and clothes they then have the opportunity to pass them on to others who are less fortunate. August is a good time to clear children’s rooms because it sets a positive stage for the new school year.

September-Hall closets

Hall closets can become dumps for miscellaneous items. Check those spaces for what is actually used at some point during the year. Clear out faded flags, and hats, coats and gloves that never get worn. What about the boots that litter the floor? If you have games in your hall closet, are they still pulled out and played? How many vacuum cleaners do you have in there? Which one works best?

October-Attic

Like the garage, the attic is a huge daunting project. Feng shui teaches that the attic is the area of your hopes and aspirations. If you clear here, you get clear about what you want and you make space to get more of what you really want. Is it worth facing the nightmare up there? You bet! In many climates fall is the best time to clear an attic because it is neither too hot or too cold. If your attic is packed tight I recommend that you first look for big “Duh!”items. Those are the things that are no brainers for pitching–for example, the two Christmas trees you haven’t used in a decade. Clearing out those items will loosen up the space, making it possible to think more clearly. Once a few sizable items have left the space you’ll be encouraged by your progress and feel enthusiasm to release more. Put all small items and paper aside to deal with last. Don’t get bogged down with the minutia!

November-Guest rooms

Guest rooms either become dumping grounds, multi-purpose rooms or stagnant spaces for things that don’t matter much. The energy of every part of the house affects the energy of the whole and what happens in your life. Clear the dump. Clear and reorganize the multi-purpose room. Release those things you no longer love or use that made their way to your guest room. Clearing the guest room will make it possible to have loved ones stay with you during the holiday season.

December-Holiday decorations

December is too busy a time to do any big organizing projects. But, you will be pulling out your seasonal decorations. When you do, notice which items you use and what stays in the boxes. Pitch those decorations that haven’t emerged from their boxes in two years. Clearing your decorations down to just those that actually get used will make the prospect of decorating next year much more appealing.

Some of you may be wondering what you do during the month assigned to the garage if you don’t have a garage. Or, if you don’t have children, what do you do in August. What about the basement? I don’t have a basement (yeah!), so I didn’t include it. But, if you do have a basement, you can substitute it for clearing out children’s rooms if you have no children or the garage if you have no garage. You may also choose to tackle the basement instead doing one of the other areas that you know won’t be difficult for you to squeeze in during another month.

My intention in setting specific goals each month is to help you focus your organizing efforts. It’s very easy to be distracted by the noise of clutter all over the house. If you choose to take the 12 month challenge, commit to tackling and completing the one area each month. If the area is too big to do all by yourself, get friends, family or professional help to make it happen. And, remember that it’s ESSENTIAL that you maintain your day to day organizing processes and systems in addition to your monthly clearing project. If you don’t, you’ll be creating a new nightmare while you’re clearing another.

Having a monthly clearing goal will also help you pace yourself. Once you feel some of the benefits of clearing you may be tempted to do massive clearing all at once. Clearing too much too fast will shift energies too quickly. This can result in chaos in your life or physical illness.

What is most important is that you do some clearing each month. My suggestions are just that — suggestions. Feel free to tailor this plan to work with the realities of your climate, your energy and your family situation.
